P2 Concepts Training Registration Policy

Purpose

This policy establishes the terms governing registration, attendance, transfers, credits, and refunds for training programs. It is intended to ensure consistent application, transparency, and responsible stewardship of limited training resources.

Registration & Seat Reservation

Training courses are offered with limited capacity. Upon registration and payment, a seat is reserved exclusively for the registered participant and removed from course availability. Once reserved, the seat cannot be offered to another student.

Refund Policy

All training registrations are final. Refunds are not provided once a training seat has been purchased.

Training Approval & Refunds

Mandatory Training Approval and Financial Responsibility

All training—individual or group—must receive formal approval before registration, scheduling, payment, or curriculum development. This requirement is mandatory and directly linked to departmental authorization, risk management standards, and workers’ compensation coverage.

Any training initiated without formal approval is considered non-authorized. P2 Concepts shall not be liable for refunds, damages, injuries, losses, or costs arising from or associated with such training.


Financial Responsibility & Refunds

  • Training costs incurred without prior approval will be deemed non-reimbursable, regardless of intent.
  • Refunds or credits are not guaranteed and are subject to:
    • Vendor cancellation policies
    • Missed deadlines
    • Administrative determination
  • P2 Concepts assumes no obligation to absorb costs resulting from unauthorized training activity.

Any attempt to recover funds will be evaluated on a case-by-case basis and does not override the policy requirement or establish precedent.


Accountability

  • Officers, regardless of tenure, are responsible for confirming approval before pursuing training.
  • Supervisors are accountable for ensuring that officers—particularly those with limited experience—do not initiate training activities outside approved channels.
  • Failure to follow the approval process may result in:
    • Denial of reimbursement
    • Cancellation of training
    • Administrative notification & review

Purpose

This policy exists to:

  • Protect the P2 Concepts and the department from financial loss & liability
  • Ensure legal and workers’ compensation coverage
  • Maintain oversight, consistency, and accountability in training decisions

Unauthorized training creates risk exposure and financial liability and will be addressed accordingly.

Cost Commitment & Revenue Impact

Training preparation involves non‑recoverable commitments, which may include:

  • Instructor compensation allocated by confirmed enrollment
  • Instructor travel expenses (airfare, lodging, meals, transportation)
  • Training gear, equipment, and materials secured and prepared in advance
  • Facility reservations, insurance, and administrative support

These costs are incurred regardless of attendance. When a reserved seat is canceled or unused, the organization sustains lost revenue and unrecoverable expenses.

Course Credit (In Lieu of Refunds)

In lieu of refunds, course credit may be issued at our discretion. Approved credit:

  • May be applied toward eligible future training of equal value
  • Has no cash value
  • May be subject to expiration or additional conditions
  • Cannot be exchanged for a refund

Seat Transfers

Seat transfers may be permitted with prior approval. Approval is contingent upon:

  • Review and approval of the receiving (transferred) participant
  • Verification that the transferee meets all eligibility and prerequisite requirements
  • Completion of required documentation prior to the training start date

Seat transfers are not guaranteed and are approved case‑by‑case. Once transferred, the registration remains final and is not eligible for refund or additional credit.

Changes & Modifications

We reserve the right to modify training schedules, instructors, locations, formats, and policies as operationally necessary.

Acceptance of Terms

Completion of registration constitutes acknowledgment and acceptance of this Training Registration Policy.

What options are available if I need to cancel?

While refunds are not available, course credit or an approved seat transfer may be considered, subject to policy terms and approval.

What is course credit?

Course credit allows the value of your registration to be applied toward a future eligible training session. Credit has no cash value, is not a refund, and may be subject to expiration or other conditions.

Can I transfer my seat to another participant?

Are transferred seats refundable?
